Commercial Real Estate
Facilities Management
SpaceIQ
Situation
SpaceIQ was a proptech startup developing a machine learning & predictive analytics platform. The focus was on the Facilities Management and Commercial Real Estate lease management industries. Purchased by WeWork.
Role: Director of UX, Product Manager
Goals:
Unify the platform experience
Create a self-serve new user experience
Upgrade core features
Fix: Powerful engineering was difficult for users to access. Revenue team couldn’t easily make a “show, don’t tell” demo
Strategy
A UX Audit and Customer Success team involvement would generate a unified, prioritized list of issues to workshop with C-level leaders & engineering.
A customer research program and advisory council would give us the insights to see past internal issues
Since different disciplines all felt a strong sense of ownership of the platform and its success to date, the best way forward was to facilitate discussions with new data
My bet: Commercial lease executives want a robust financial platform that lets them zoom to any level of data easily. They also want to stay on top of critical lease date alerts
My bet: Facilities managers would like a highly visual, modular, and organized experience that always offered them smart next steps
Actions
Built up product sense: Conducted customer research, competitive analysis, and used platform analytics to create a new anchor for product discussions
Took advantage of company membership to attend trade industry events to meet users
Designed and prototyped 4 initiatives:
New global taxonomy and navigation system
Dashboard on log in
Geographic drill-down experience with financial roll ups, charting, and images at every level for the leasing product, predictive analytics
Upgraded floor map app with department seating visualizations, new show/hide data visualizations, and predictive alerts
Pivoted to take advantage of new revenue opportunity: Design a meeting room management system, incorporating live desk and room sensor data, and wall-mounted tablets for meeting rooms and lobby monitors for wayfinding
Designed new hot desking and room reservations features for mobile app
Wrote PRDs and user stories, led prioritization discussions
Collaborated with senior executives and engineering throughout the process
Results
Solved #1 new user complaint by designing SpaceIQ's first account dashboards, with roles, personalization, new user & advanced modes, and dynamic data modules
Designed new revenue product with a tablet-based meeting room management system for enterprise drawing on customer and competitor insights
Increased efficiency and retention of the core real estate product by designing improved global taxonomy, "infinite" drill-down portfolio manager, and machine learning/predictive analytics for leases for CFOs and leasing executives
Increased customer satisfaction, ease of use and retention by upgrading the core facilities map product with live data, machine learning/predictive analytics, new features, and what-if planning for facilities managers
Increased team impact by aligning with C-suite strategy, establishing customer insights program, design standards and processes, and prototyping for product, design and engineering
Increased product management velocity by leading feature prioritization, PRDs and user stories
Leadership Perspective
Professional associations and customer interviews are the way to understand the “body of lore” and bring it into the product
I learned that embracing and supporting innovative UX initiatives from the engineers, not trying to seize control, was how to gain influence

3D design software
Aditazz
Situation
Aditazz Design Synthesis Platform: A commercial architecture design company with innovative AI/ML tools wanted to monetize their technology with a 3d SaaS design platform to compete with Autodesk, others
Role: Director of Product Management and UX
Goals:
Design the MVP of the Aditazz Design Synthesis platform
Establish a software product team and processes
Demonstrate the efficiency of AI/ML smart layout algorithms and intelligent diagrams
Challenges:
Bring separate tools together into a coherent platform
Figure out which part of the room - floor - building - site vision to build first
Enable the oil & gas infrastructure business to use the Aditazz platform
Strategy
The underlying AI/ML features and predictive analytics were powerful but were hidden behind V1.0 tool UIs
An existing visual proof of concept could be leveraged, saving the investment
Decomposing the tools and presenting the key functions as sequential workflows and updated UI would unlock the company’s value proposition
Recruit key discipline leads to a lightweight product management process to give the organization the necessary capability to manage a software product
Bet: The Aditazz MVP should be salable on its own right away in order to secure customers and venture funding. Therefore the room layout application would be first.
Actions
Hired and managed core product team
Defined MVP and roadmap with new PM process based on 1-pager PRDs, scoring and prioritizing criteria, and standardized functional specifications
Wrote PRDs and user stories, led prioritization discussions
Initiated on-site customer interviews to build common understanding and product sense
Developed the Aditazz Design System and led design of new platform, including 3D design mode
Ran regular collaboration sessions with executives, SMEs and internal tool engineers
Interrupted the main project to clone the platform and rework it to handle horizontal infrastructure design for oil & gas opportunities
Designed a Revit (Autodesk) integration/translation app
Successfully designed the AI/ML layout rules engine and UI with predictive analytics
Prototype testing to fix problems and refine design
Results
Created new revenue product by designing & launching 3D architecture design platform with AI/ML-driven dynamic room, floor, building & site layout, smart rules engine, predictive analytics and 3D visualization for architects
Created second revenue product by modifying Aditazz for infrastructure design for oil and gas plants
Increased adoption and customer satisfaction by designing a REVIT integration tool, aligning with industry standards and increasing TAM
Increased team impact by aligning with CEO vision, establishing customer insights program, Aditazz Design System, and first product management and design processes and prototyping
Established product function by defining roles, hiring talent, and coaching
Leadership Perspective
Don’t be shy about implementing new work processes if they are needed to deliver.
Taking a holistic view of product and UX, and developing processes for both where necessary for success, has made me a better product and design leader.
Artificial Intelligence/Machine Learning
Dental practice
Agentz
Situation
A machine learning startup wanted to use the capabilities of early artificial intelligence to launch a chatbot for dental practice reservations
Role: Director of Product Management and UX
Launch a dental office chatbot to handle creating, changing, and cancelling appointments
Very limited funds for MVP
Strategy
Gain rapid product sense through interviews with dental offices and the ML engineering team
Bet: Designing for a narrow but complete set of use cases would allow the MVP to reach the 80/20 threshold, where the bot could handle 80% of reservations calls. This was our target service level.
Bet: Customers and consumers would see transparency about the bot and escalation to a human as a benefit
Actions
Mapped out all conversations as flowcharts to identify success vs. escalation (human in the loop)
Wrote PRD and user stories, led prioritization discussions
Designed multi-modal chat interfaces that supported: text, voice, images, videos, URLs, forms, messages, emails.
Prototyped screen designs with real users
Results
Launched working MVP with ability to manage reservations via chat text, chat voice, landline voice, cell phone voice, and email.
Leadership Perspective
This was my first AI/ML project, sparking my continuing interest in this technology.
Conversational design benefits from careful and complete use case definition for core versus edge cases.
